Your clinic's letterhead, on every PDF

Your reports go to colleagues, referral centres and pet owners. Until now they looked like ours: our header, our footer, our layout. Many clinics fixed that by copying the text into a Word template with their letterhead. That step is gone.

How it works

An account admin sets it up once, in the Studio, on the new PDF letterhead page.

  1. Upload the blank page of your report template as a PDF. You can add a second page for the pages that follow, for example one with a smaller header. Without it, the first page repeats.
  2. We find the space for the text. The Digital Clinic looks at your page and works out where the report can go, including layouts with a side column, not only a header and footer band.
  3. Preview your letterhead with a report flowed into it, page one and page two, so you see how a long report breaks across pages.
  4. Pick the style. Choose a serif or sans-serif font, a text size (small, medium or large) and an accent colour for headings, table headers and links. We preselect the font closest to your letterhead's and the colour your letterhead already uses. Your choices are saved as you go, and a Done button takes you back to your document types.

From then on, every PDF in the account comes out on your letterhead: reports, owner letters, notes, the journal and VoiceIt documents. Every vet in the clinic gets it without doing anything. The document editor shows the same look, so what you write is what prints.

A cleaner page under your header

The report now starts directly below your letterhead. We no longer add an extra line with the patient's name, breed, age and date under your header, so the patient details appear once, in the report itself.

Sign every document automatically

Pick one of your snippets as your signature, and it's added under every document you publish, the way your mail program adds yours. It also shows under the document when you read it. You can switch it or turn it off any time, right under the document or in your snippet settings, and you never lose a snippet.

No letterhead yet? The standard layout got a lot better too

Clinics that haven't uploaded their own letterhead now get a much more polished standard PDF: a clean header with the logo, headings in your clinic's own theme colour with gold accents, and a modern, easy-to-read typeface. The document editor shows the same look. Every page footer shows what the document is and its page number, so a loose printed page is easy to place, and your name, address and contact details are no longer repeated at the bottom of every page. Your signature says it once, the way you want.

Good to know

  • Export your template from Word or similar with Save as PDF. Scans and photos are refused.
  • Use A4 portrait, one or two pages, with the area where the report goes left completely empty.
  • Use logos at print resolution. We warn you if a logo looks too low-resolution, and save it anyway.
  • To go back to the standard layout, remove the letterhead.
