Acceptable Use Policy

Digital Clinic is built to help veterinary professionals collaborate and deliver better care. We want everyone to have a good experience, so we've put together some ground rules.

This isn't meant to be an exhaustive list of everything that could go wrong—it's guidance on how to be a good member of the Digital Clinic community. Use common sense, act professionally, and treat others with respect.


The Short Version

  • Be honest about who you are and your qualifications

  • Only upload content you have the right to share

  • Get proper consent before sharing patient or pet owner data

  • Don't do anything illegal

  • Be professional and respectful

  • Don't try to break or abuse our systems


Professional Conduct

Be Who You Say You Are

  • Accurate credentials: If you claim to be a veterinarian, specialist, or other professional, you must actually hold those qualifications.

  • Honest information: All professional information you provide—licenses, specializations, experience—must be truthful and current.

  • No impersonation: Don't pretend to be someone else or claim credentials you don't have.

Practice Within Your Scope

  • Stay in your lane: Only provide consultations and advice within your area of competence and licensure.

  • Follow professional standards: Adhere to the ethical and professional standards of your profession and jurisdiction.

  • Maintain licensure: Keep your professional licenses and certifications current.

Respect Professional Boundaries

  • Remember that ultimate clinical decisions rest with the treating veterinarian

  • Specialists provide expert opinions, not orders

  • All recommendations should be verified before implementation


Content Guidelines

What You Can Upload

You may upload content to Digital Clinic only if:

  1. You own it or have permission. This includes images, videos, documents, and any other files.

  2. You have proper consent. For patient data and pet owner information, you must have obtained appropriate consent.

  3. It's legal. The content must not violate any applicable laws.

  4. It's relevant. Content should relate to veterinary cases and professional collaboration.

What You Must Not Upload

  • Unauthorized personal data. Don't upload information about pet owners, their families, or anyone else without proper consent.

  • Copyrighted material. Unless you own it or have a license.

  • Confidential information. Don't share proprietary information from employers or other sources without authorization.

  • Harmful content. Nothing violent, abusive, harassing, defamatory, or otherwise harmful.

  • Misleading information. Don't post false or intentionally misleading content.

Third-Party Content

If you upload videos or images that include identifiable people (like a pet owner or their family members), you are responsible for ensuring they have consented to that content being shared on our platform.


Data and Privacy

Consent Is Your Responsibility

Before uploading any data to Digital Clinic, you must ensure:

  • Pet owners have consented to their personal data and their pet's information being processed on our platform

  • Any identifiable individuals in images or videos have consented

  • You comply with all applicable data protection laws

Keep Data Appropriate

  • Only upload data that's relevant to the case or consultation

  • Don't include unnecessary personal information

  • Consider data minimization—share what's needed, not everything you have

Respect Confidentiality

  • Treat all case information as confidential

  • Don't share case details outside the platform without proper authorization

  • Specialists must maintain confidentiality of consultation content


Communication Standards

Be Professional

All communications on Digital Clinic—chats, calls, comments—should be:

  • Respectful: Treat colleagues, clients, and pet owners with courtesy

  • Professional: Maintain the standards expected of veterinary professionals

  • Constructive: Aim to help, not to criticize destructively

What's Not Acceptable

  • Harassment, bullying, or intimidation of any kind

  • Discriminatory comments based on race, gender, religion, sexual orientation, disability, or other protected characteristics

  • Threats or abusive language

  • Spam or excessive self-promotion

  • Sharing private communications without consent

Recording Awareness

Communications on Digital Clinic (including chats and calls) may be recorded for case documentation and quality purposes. By using these features, you acknowledge this recording.


Security and System Integrity

Don't Break Things

  • No hacking: Don't attempt to access accounts, data, or systems you're not authorized to use

  • No reverse engineering: Don't decompile, disassemble, or reverse engineer our software

  • No scraping: Don't use automated tools to extract data from our platform

  • No interference: Don't attempt to disrupt or overload our systems

Protect Your Account

  • Use a strong, unique password

  • Enable multi-factor authentication

  • Don't share your login credentials

  • Log out when using shared devices

  • Report suspicious activity immediately

Vulnerabilities

If you discover a security vulnerability, please report it responsibly to team@digitalclinic.vet. Don't exploit it or share it publicly.


Legal Compliance

Follow the Law

You are responsible for complying with all laws and regulations that apply to you, including:

  • Veterinary regulations in your jurisdiction

  • Data protection laws (GDPR, etc.)

  • Controlled substance regulations for any medication-related discussions

  • Professional licensing requirements

  • Employment obligations and confidentiality agreements

Industry-Specific Rules

Different countries and regions have different rules for veterinary practice, telemedicine, prescriptions, and more. It's your responsibility to know and follow the rules that apply to your situation.


Enforcement

What Happens If You Violate This Policy

If we believe you've violated this policy, we may:

  1. Issue a warning for minor or first-time violations

  2. Limit your access to certain features

  3. Suspend your account temporarily

  4. Terminate your account for serious or repeated violations

  5. Report to authorities if we believe illegal activity has occurred

We'll try to be reasonable and proportionate, but we reserve the right to take whatever action we deem necessary to protect our platform and users.
